HirePilot Privacy Policy
Last updated: September 2025
Introduction: HIREPILOT LLC (doing business as “HirePilot,” “we,” “us,” or “our”) is committed to protecting your privacy and being transparent about our data practices. This Privacy Policy explains what information we collect from users of our job-seeking support platform, how we use and share that information, and the measures we take to safeguard it. By using HirePilot’s services (the “Services”), you agree to the data practices described in this Privacy Policy. If you do not agree, please discontinue use of the Services.
1. Information We Collect
We collect various types of information to provide and improve our Services:
- Information You Provide: When you create an account or use HirePilot, you may provide personal information such as your name, email address, and possibly phone number. You will likely upload job search materials like your résumé, cover letters, employment history, job preferences, or other career information. This also includes any content you input into our platform (for example, text you ask our AI to assist with).
- Payment Information: If you subscribe to any paid features, payment details (e.g. credit card number, billing address) are collected and processed securely by our payment processor, Stripe. We do not store full credit card numbers or bank account details on our systems – these are handled through Stripe’s secure infrastructure. By making a purchase, you agree to Stripe’s Terms of Service and Privacy Policy.
- Information Collected Automatically: Like many online services, we automatically collect certain data when you use HirePilot. This includes your IP address, browser type, device type, operating system, and usage data such as pages or features accessed, time spent, and interactions on the site. We may also derive coarse location information from your IP (e.g. city or state) for analytics purposes. We use cookies and similar technologies (see Cookies & Tracking below) to gather some of this information.
- Information from Third Parties: If you choose to sign in or connect via third-party services, we may receive data from those sources. For example, if HirePilot allows sign-in with Google or LinkedIn in the future, we would receive basics like your name and email from those accounts. We also integrate third-party tools such as Stripe for payments (which provides us confirmation of your payment but not your full card details) and possibly job-related services or analytics providers. Any information obtained from such third parties will be treated in line with this Policy and any additional restrictions from the source.
2. How We Use Your Information
We use the collected information for purposes consistent with providing an effective job-seeking co-pilot service and improving our platform. Key uses include:
- Providing and Personalizing Services: To operate HirePilot’s core functionality and tailor the experience to you. For example, your résumé and profile information are used to give personalized AI-driven suggestions for jobs, résumé improvements, or interview tips. We may use your data to autofill job applications or recommend opportunities (if such features are offered).
- AI-Powered Guidance: Our platform leverages artificial intelligence to assist you. For instance, we might send parts of your résumé or queries to an AI service (like OpenAI’s API) in order to generate résumé feedback, cover letter drafts, or job search advice. The AI uses your data only to provide you with results and we do not use your personal data to train our own models without your consent.
- Account Management and Customer Support: To create and maintain your account, authenticate you when you log in, and provide user support when you contact us. We’ll use your email to communicate important account notices, such as password resets, security alerts, or updates about our Services.
- Processing Payments: To handle subscriptions or purchases you make. We use your information to process transactions (via Stripe) and manage billing (e.g. sending receipts or notices about subscription status).
- Communication and Updates: To send you service-related announcements or administrative messages. With your permission, we may also send newsletters or job-seeking tips, product updates, and special offers. You can opt out of marketing emails at any time by clicking “unsubscribe” in those emails or adjusting your account settings.
- Analytics and Improvements: To monitor and analyze usage of our platform, in order to understand how users engage with HirePilot and to improve our features and user experience. For example, we might track which features are most used or where users encounter errors, so we can make enhancements. We may use third-party analytics tools (like Google Analytics) that employ cookies or similar technologies to help us in this analysis.
- Security and Fraud Prevention: To keep our platform safe. Information (including automated logs) is used to detect, investigate, and prevent fraudulent activity, spam, unauthorized access, DDOS attacks, or other misuse. We also use data to debug and fix errors and to enforce our Terms of Use.
- Legal Compliance: To comply with legal obligations and enforce our agreements. For instance, we may use or disclose information as necessary to meet record-keeping requirements, to respond to lawful requests by authorities, or to exercise or defend legal claims
3. Use of AI Technology
HirePilot utilizes artificial intelligence technologies to enhance your job search experience. It’s important to understand how your data interacts with these AI features:
- AI Processing of Your Data: When you use features like résumé reviews, cover letter generation, or interview Q&A practice, the content you provide (e.g. your résumé text or questions you ask) may be sent to our AI partners (such as OpenAI) to generate responses. This means external AI engines will temporarily process your information to return the guidance or content you requested. We only share the minimum necessary data for these features to work.
- No AI Training on Personal Data: We do not use your personal résumé data, application history, or interview responses to train our own AI models without your explicit consent. Any AI generation is done on-the-fly to assist you, and we do not feed your personal details into long-term machine learning training pipelines.
- Accuracy and Review: While AI can be a powerful aid, it’s not perfect. AI-generated suggestions (for example, a proposed cover letter or résumé edit) may contain errors or inappropriate recommendations. We advise you to review and use your own judgment on all AI-provided content. (See our Disclaimer of Liability for more on this). We strive to use reputable AI services and continually improve prompt quality, but we do not guarantee the AI’s output will be 100% accurate or suitable for your specific situation.
- OpenAI and Other Providers: If we rely on third-party AI providers like OpenAI, we adhere to their data usage and privacy policies. For example, OpenAI has policies to limit how they use data sent through their API. We choose providers that commit not to use our users’ data for their own purposes whenever possible. (OpenAI’s policy, as of this writing, does not use API data to train the OpenAI general models) We will update our practices if we change AI vendors or if their policies change.
4. How We Share and Disclose Information
HirePilot does not sell your personal information. We only share your information in the following circumstances:
- With Service Providers (“Processors”): We use trusted third-party companies to help us operate the platform. These include cloud hosting providers, payment processors, analytics services, and email service platforms. These third parties process data on our behalf and are bound by contracts to only use your information for the services we request. Key service providers we work with:
- Stripe: Processes all payments and subscriptions securely. Stripe handles your payment information (credit card numbers, etc.) so we don’t have to.
- Cloud Storage and Hosting: We use secure cloud infrastructure (for example, AWS or similar) to store your data and run our application. Your résumé files or other uploads are stored in databases or storage buckets protected by encryption and access controls.
- AI API Providers: As mentioned, we send data to AI services (such as OpenAI) to generate content for you. These providers might temporarily receive and process your text inputs to return results. They are not allowed to use your data beyond fulfilling our requests, under their terms.
- Analytics Tools: We use analytics like Google Analytics to understand user engagement. These tools may set their own cookies or device identifiers to collect usage data. This information is aggregated and helps us improve the service (e.g., seeing how many users use a feature). You can opt out of Google Analytics by using a browser opt-out plugin if you wish.
- Communications: If we send emails, we may use an email delivery service (like SendGrid, MailChimp, or similar) which will have your email address in order to send the messages.
- We ensure that all such providers have obligations to protect your data and, where applicable, to comply with relevant privacy regulations.
- Stripe: Processes all payments and subscriptions securely. Stripe handles your payment information (credit card numbers, etc.) so we don’t have to.
- With Your Consent: We will share your personal information with companies, organizations, or individuals outside of HirePilot only if we have your consent to do so. For example, if in the future HirePilot offers an option to allow a mentor or coach to view your profile, we would do that only with your consent.
- For External Processing or Integrations: If HirePilot introduces features to apply to jobs or share data with external job boards/recruiters on your behalf, we will do so only at your direction. (For instance, if you choose to use a one-click apply integration to a job site, we would send your data to that site with your permission.)
- Legal Requirements: We may disclose information where required by law or legal process, or if we believe in good faith that such disclosure is necessary to (a) comply with a legal obligation (such as a subpoena or court order), (b) protect and defend our rights or property, (c) act in urgent circumstances to protect the personal safety of users or the public, or (d) protect against legal liability.
- Business Transfers: If HirePilot is involved in a merger, acquisition, investment due diligence, reorganization, or sale of assets, your information may be transferred as part of that deal. We would continue to ensure the confidentiality of any personal information and give affected users notice before their data is transferred or becomes subject to a different privacy policy.
- Aggregated or De-Identified Data: We may share data that has been aggregated or anonymized (so it does not identify you personally) for purposes such as marketing, analytics, or research. For example, we might publish usage statistics (“1000 users applied to jobs using HirePilot this month”) or share generalized insights with partners. This data will not contain personal identifiers.
5. Cookies and Tracking Technologies
HirePilot uses cookies and similar tracking technologies to provide, personalize, and improve our Services:
- What Cookies Are: Cookies are small text files stored on your device to save information. They help us remember your preferences and recognize you upon return visits.
- Types of Cookies We Use:
- Essential Cookies: These are necessary for the website to function and cannot be disabled. For example, when you log in, we use a cookie to keep you logged in as you navigate pages (session cookie). Essential cookies also help with security (e.g., to prevent fraudulent use of your account).
- Preference Cookies: These remember your settings and choices to provide a more personalized experience (for instance, your preferred language or whether you’ve dismissed a particular pop-up).
- Analytics Cookies: These cookies collect information about how users interact with our site (which pages are visited, how long is spent, etc.). We use this data to improve the Service’s performance and design. For example, Google Analytics may set cookies to track page load times or user navigation patterns.
- Third-Party Cookies: Some cookies are placed by third parties – for instance, the Stripe checkout widget might set a cookie, or our analytics and AI partners might use cookies or tokens when their services are loaded. We are not responsible for third-party cookies, but we only integrate trusted partners. Refer to those third parties’ cookie policies (e.g., Google’s or Stripe’s) for details on their cookies.
- Essential Cookies: These are necessary for the website to function and cannot be disabled. For example, when you log in, we use a cookie to keep you logged in as you navigate pages (session cookie). Essential cookies also help with security (e.g., to prevent fraudulent use of your account).
- Your Choices: You can control or delete cookies through your browser settings. Most browsers allow you to refuse new cookies or delete existing ones. However, please note that if you disable or remove certain cookies, some parts of HirePilot may not function properly. For example, if cookies are disabled, you might not be able to stay logged in or some features that rely on cookies might not work.
- Do Not Track: “Do Not Track” (DNT) is a setting in some browsers that sends a signal to websites not to track. Currently, our site does not respond differently to DNT signals, in part because there is no consistent industry standard for compliance. We continue to monitor developments around DNT and may update our practices if standards emerge.
6. Data Retention
We retain personal information for as long as necessary to fulfill the purposes outlined in this Privacy Policy, unless a longer retention period is required or permitted by law. In general:
- Active Accounts: If you have an active HirePilot account, we will retain your information so that we can provide the service to you. This includes your profile info, uploaded résumés, saved jobs or notes, etc., until you delete them or delete your account.
- Account Deactivation or Deletion: If you choose to delete your account, or if your account remains inactive for an extended period, we will initiate the process of removing or anonymizing your personal data. In many cases, we will first deactivate the account and then permanently delete the data after a safety period. Upon your deletion request, we will remove your personal data within approximately 30 days, except for information we are required to keep for legal reasons. For example, transactional records might be retained for financial reporting.
- Specific Data Types:
- Résumé and Profile Data: Removed when you delete them or when you delete your account. You also have the ability to update or replace these at any time.
- Communications: If you contacted support, we may retain those communications (to reference past issues, etc.) unless you specifically request otherwise.
- Analytics Data: We may retain aggregated analytics or log information to improve our service, but such data would not be linked to personal identifiers after your account is deleted.
- Payment Records: We retain payment and subscription records as required for accounting and compliance (typically for several years, as financial regulations often mandate). However, this will generally not include your full card number (only basic transaction info).
- Résumé and Profile Data: Removed when you delete them or when you delete your account. You also have the ability to update or replace these at any time.
- Retention for Legal Compliance: Even after you delete your account, we may retain certain information as necessary to comply with legal obligations (for example, records of consents you gave, or records required for tax, auditing, and regulatory compliance), to resolve disputes, or to enforce our agreements. When we retain data for these reasons, we ensure it’s only used for these limited purposes.
We regularly review what data we have and delete or anonymize data that is no longer needed. If you have any questions about our data retention practices specific to your information, you can contact us (see Contact Us below).
7. Data Security
HirePilot takes the security of your personal information seriously. We implement a variety of technical and organizational measures to protect your data from unauthorized access, loss, misuse, or alteration:
- Encryption: All data transmissions between your browser and our servers are protected using HTTPS encryption (TLS/SSL). This means personal data you send us (like login credentials or uploaded résumé content) is encrypted in transit. Additionally, sensitive data is encrypted at rest in our databases or storage systems where feasible.
- Secure Infrastructure: We utilize reputable cloud hosting (such as Amazon Web Services or similar providers) known for their robust security practices. Our databases and servers are protected by firewalls, network security monitoring, and other hardening techniques. Data is stored on access-controlled servers in secure facilities.
- Access Controls: Internally, access to personal data is restricted to authorized personnel who need it to operate or support the service. For example, our development and support team can only access user data for troubleshooting or support requests with managerial approval. All staff are bound by confidentiality obligations. We log and audit access to sensitive information.
- Authentication Security: We encourage strong passwords and plan to implement multi-factor authentication (MFA) for user logins to add an extra layer of security to your account. We also protect passwords by hashing them (we never store plaintext passwords). If there is any sign of unauthorized login to your account, we may alert you or temporarily lock the account as a precaution.
- Third-Party Security: When using third-party services (like Stripe, or cloud providers), we select vendors with strong security reputations and compliance certifications (e.g. Stripe is PCI-DSS compliant for payment security; AWS has SOC2, ISO27001, etc.). We also ensure any data shared with third parties is transmitted securely (e.g. using encryption and secure APIs). Our contracts with processors require them to maintain appropriate security measures.
- Monitoring and Testing: We conduct regular security assessments of our systems and code. This includes periodic vulnerability scanning and keeping software and libraries up to date to patch security vulnerabilities. We monitor our platform for unusual activities or unauthorized access attempts, and have systems to detect and block common attack patterns (like repeated failed logins).
- Incident Response: Despite best efforts, no system is 100% secure. We have an incident response plan in place. In the event of a data breach or security incident, we will promptly investigate and take steps to mitigate any harm. Where required by law, we will notify affected users and authorities of certain types of breaches. We continually refine our security practices as threats evolve.
By using HirePilot, you acknowledge that you understand the inherent risks of providing data online and agree that we have implemented commercially reasonable protections for your information. If you have reason to believe that your interaction with us is no longer secure (for example, if you suspect your account has been compromised), please contact us immediately.
8. Your Rights and Choices
Even though HirePilot is currently focused on U.S. users and not yet subject to some international privacy laws, we want to empower you with control over your personal information. Subject to applicable law, you may have some or all of the following rights:
- Access and Portability: You can request a copy of the personal data we hold about you. We can provide this in a common electronic format. For example, you may request an export of the profile and résumé information you provided to us.
- Correction: If any of your information is inaccurate or outdated, you have the right to correct or update it. You can do this by logging into your account settings to edit your profile details or by contacting us if you need assistance.
- Deletion: You have the right to request deletion of your personal data. You can delete certain data (like an uploaded résumé or cover letter) directly through the platform. To delete your entire account and associated data, you can use any provided account deletion feature or contact us. We will delete your data as described in Data Retention above, typically within about 30 days of your request (excluding data we must keep for legal reasons). Important: if you delete your account, we will remove your personal information but note that residual copies or backups might persist briefly before they are overwritten, and any public content you’ve contributed (should our platform allow user forums or similar) might remain visible to others in some form.
- Withdrawal of Consent / Opt-out: If we rely on your consent to process certain information, you have the right to withdraw that consent at any time. For example, if you consented to receive marketing emails or newsletters, you can opt out at any time by using the unsubscribe link in those emails or adjusting your account email preferences. (Even if you opt out of marketing, we may still send you essential account or transaction-related messages as allowed by law.)
- Restrict Processing: You can request that we limit the processing of your data in certain situations – for instance, if you contest the accuracy of the data, or if you want to restrict processing while an objection is being resolved (these rights are more formally provided under GDPR for EU residents, but we will do our best to honor such requests from any user when feasible).
- Non-Discrimination: We will not deny you any service, charge you different prices, or provide a different level of quality because you exercised any of your data rights in good faith. (This principle aligns with laws like CCPA in California.)
Please note: Because HirePilot is an early-stage, U.S.-focused startup, we might not have automated tools for all these requests yet. But we are committed to handling any privacy-related requests manually as needed. To exercise any of these rights, or if you have a privacy request not listed above, you can contact us at the email provided in Contact Us below. We may need to verify your identity (to make sure we don’t give your data to an imposter) by asking for some information. We will respond to your request within a reasonable timeframe, and in any event within any timeframe required by law.
9. Notice to California Residents (CCPA) and EU Residents (GDPR)
At this time, HirePilot’s primary user base is within the United States. We are not yet officially governed by the California Consumer Privacy Act (CCPA) or the EU General Data Protection Regulation (GDPR), as we do not currently meet the applicability thresholds of those laws (for example, we are a small startup not doing business in the EU, and we do not yet handle personal data at the scale CCPA covers). However, we believe in the spirit of those regulations and aim to implement their core principles as a matter of good practice and transparency.
- No Sale of Personal Data: In CCPA terms, we do not “sell” personal information. We also do not share personal data for cross-context behavioral advertising. Should that ever change, we will update this policy and provide required opt-outs.
- Privacy Rights: Even though GDPR and CCPA may not strictly apply, we have voluntarily adopted measures aligned with their requirements. For instance, HirePilot allows users to delete their data or export their personal information on request, aligning with the “right to be forgotten” and data portability principles under these laws. In practice, this means you can ask for a copy of your data or deletion of your data, and we will honor it much as we would if those laws strictly applied. We want our users to have control over their information.
- Commitment to Best Practices: We view strong privacy protections as part of our company ethos. Even if HirePilot is initially U.S.-focused, adopting GDPR/CCPA best practices demonstrates our dedication to user privacy and positions the company for smooth expansion into new markets. In other words, we are building privacy compliance into our product by design. This proactive approach mitigates risk and helps build trust with all our users, who increasingly expect control and transparency regarding their personal data.
- Limitations: Because we are pre-compliance, certain formal processes (like an online “Do Not Sell My Info” link, or an EU Data Protection Officer contact) may not be in place yet. We ask for your understanding as we grow; we are working toward full compliance and will update our policies and practices as needed. If you are a resident of a jurisdiction with privacy laws and you have a specific concern or request (for example, you’re an EU resident trying out our service and want to exercise GDPR rights), please contact us and we will do our best to accommodate you.
- International Data Transfers: If you are using HirePilot from outside the United States, be aware that your information will be transmitted to and stored on servers in the U.S. We rely on standard safeguards for any such transfers. By using the Service, you consent to your data being processed in the U.S. under this Policy. We will implement appropriate safeguards (such as standard contractual clauses) if we engage in cross-border data transfers in the future as required by applicable law.
In summary, while we may not be legally required to comply with GDPR, CCPA, or other international privacy laws at this stage, we aim to voluntarily uphold many of their principles. We value your privacy highly and are preparing our platform to meet or exceed these standards over time.
10. Children’s Privacy
HirePilot is not intended for children under the age of 13, and we do not knowingly collect personal information from children under 13 years old. Our platform and services are designed for adult job seekers (and at minimum, teenagers old enough to be seeking employment or internships, usually 16+ or 18+ depending on jurisdiction – see our Terms of Use for user eligibility). If you are under 13, please do not use HirePilot or provide any information about yourself.
In the event that we become aware that we have collected personal data from a child under 13 without parental consent, we will take steps to delete that information promptly. If you are a parent or guardian and you believe your child under 13 has provided personal information to us, please contact us so we can investigate and delete the data if needed.
For teens between 13 and 18: If you are under the age of majority in your state (but at least 13), you should use HirePilot only with the involvement and consent of a parent or guardian. We encourage parents of minors to be aware of their children’s online activities.
11. Third-Party Links
Our website or communications may contain links to third-party websites or services (for example, a blog post might link to an external career resource, or the platform might direct you to an external job application on a company’s site). If you click on a third-party link, you will be directed to that third party’s site. We are not responsible for the privacy practices or content of third-party sites. This Privacy Policy applies only to HirePilot’s Services, so we recommend you review the privacy policy of any third-party site you visit. Nonetheless, we aim to only partner with or reference reputable websites that value user privacy.
12. Changes to This Privacy Policy
We may update this Privacy Policy from time to time as our services evolve or as privacy laws change. If we make material changes, we will notify users by posting the updated policy on our website and adjusting the “Last updated” date at the top. In some cases, we may provide additional notice (such as by email or a notification within the app) for significant changes. We encourage you to review this Policy periodically to stay informed about how we are protecting your information.
Your continued use of HirePilot after any modifications to this Privacy Policy will signify your acceptance of the changes. If you do not agree with any updates or modifications, you should stop using the Services and, if you wish, delete your account.
13. Contact Us
If you have any questions, concerns, or requests regarding this Privacy Policy or your personal data, please contact us. We are here to help and will respond as promptly as we can.

HirePilot Terms of Use
Last updated: September 2025
Welcome to HirePilot! These Terms of Use (“Terms”) are a legally binding agreement between you (“you” or “User”) and HirePilot (the “Company” or “we”), the provider of the HirePilot job-seeking support platform. These Terms govern your access to and use of our website, application, and services (collectively, the “Service” or “Services”). By creating an account or otherwise using the Service, you acknowledge that you have read, understood, and agree to be bound by these Terms. If you do not agree to these Terms, you must not use HirePilot.
We have tried to write these Terms in plain language for your easy understanding, but if you have any questions, please contact us. We also strongly recommend you review our Privacy Policy (above) to understand how we handle your data.
1. Eligibility and Intended Users
- Age Requirements: You must be at least 18 years old (or the age of majority in your jurisdiction) to register for or use HirePilot’s Services. HirePilot is intended for adults seeking employment opportunities or career guidance. If you are under 18 but at least 13, you may use the Service only with the involvement and consent of a parent or legal guardian, and that adult will be responsible for your use. (No one under 13 may use the Service at all.) By using HirePilot, you represent and warrant that you meet these age requirements and are otherwise legally competent to form a contract with us.
- Job-Seeker Only Platform: HirePilot is designed for individual job seekers. This means the Service is to be used for your personal job search and career development. It is not intended for use by recruiters, hiring agencies, or employers to post jobs or recruit candidates, and such use is not permitted without our express agreement. By using the Service, you represent that you are seeking employment or career advancement for yourself, and not accessing the platform as a competitor or for any commercial purpose other than your personal job search.
- Geography: Our Service is currently offered to users in the United States. If you are accessing HirePilot from outside the U.S., you are responsible for complying with any local laws. We do not warrant that the Service is appropriate or available for use in other locations. We may restrict access to the Service from certain countries if required.
- Account Registration: To access certain features, you may need to create an account. You agree to provide truthful, current, and complete information about yourself during registration. You must not create an account using false identity or on behalf of someone other than yourself. Each user should have only one account (unless explicitly permitted otherwise).
- Account Security: You are responsible for maintaining the confidentiality of your account login credentials and for restricting access to your account. You agree to accept responsibility for all activities that occur under your account (this includes any content you upload or actions taken). If you believe someone has gained unauthorized access to your account, notify us immediately. We are not liable for any loss or damage arising from your failure to secure your account credentials.
2. User Responsibilities and Acceptable Use
By using HirePilot, you agree to use the Service only for its intended purpose and in a lawful manner. You must not misuse the platform. Specifically, you agree that you will NOT:
- Violate Laws or Regulations: You will not use the Service in any way that breaches any applicable local, state, national, or international law or regulation. This includes laws relating to privacy, data export, and employment, as well as intellectual property laws.
- Infringe Rights: You will not upload, post, or transmit any content that infringes or violates the intellectual property rights or any other rights of anyone else. For example, do not upload résumés or documents for which you don’t have permission, and do not use HirePilot’s tools to generate plagiarized content.
- Provide False Information: You must not impersonate any person or entity or misrepresent your identity or affiliation. This includes not creating a user profile with false information. (It’s fine to keep your profile information professional, but it should be accurate to you.)
- Interfere with the Service: You will not do anything to interfere with or disrupt the operation of HirePilot. This means you must not attempt to hack, overload, or attack our infrastructure (no DDOS attacks, malware distribution, or other attempts to undermine security). You agree not to use any device, software, script, or process to damage, interfere with, or try to intercept any functioning of the Service.
- Automated Access: You will not access or use the Service through any automated means (such as bots, scrapers, or scripts) without our prior written permission. The only exceptions are standard search engine crawling or other tools we provide (like an official API, if we offer one). Excessive or unauthorized automated use is prohibited.
- Harassment and Illegal Content: You will not use HirePilot to transmit any unlawful, defamatory, libelous, fraudulent, harassing, or harmful material. This includes content that is threatening, abusive, violent, obscene, or invasive of another’s privacy. You agree not to harass, stalk, or harm other users. For example, if we have community forums or a Discord community, you must treat others with respect and follow any community guidelines.
- Spam and Commercial Use: You will not use the Service to send unsolicited advertisements or spam. The Service is for personal use, so you should not use it to advertise products or services to others, nor to collect information about other users for commercial purposes (like scraping user profiles to sell data).
- Reverse Engineering and Abuse: You will not attempt to reverse engineer, decompile, or extract our source code. You will not attempt to bypass any content filtering or security measures we have in place. You will not use the Service in a way that could interfere with other users’ ability to enjoy the Service, or that could damage, disable, overburden, or impair our systems (e.g., no spreading of viruses, worms, or any other destructive code).
- Competing Services: You agree not to use HirePilot in order to build or enhance a competing product or service. You must not misuse any data or content from the platform to create a rival database or job service.
If you engage in any of the above prohibited activities or otherwise violate these Terms, it may result in suspension or termination of your account (see Termination below) and possibly legal action. HirePilot reserves the right to investigate any misuse of the Service and to cooperate with law enforcement in prosecuting users who violate the law.
3. User Content and Intellectual Property
3.1 Your Content (User-Generated Content)
HirePilot may allow you to input or upload content as part of the Services – for example, your résumé, cover letters, job application answers, profile information, or any text you ask our AI to help draft. We’ll refer to all such materials that you provide as “User Content.” You retain ownership of your User Content. We do not claim any ownership rights in the résumés, documents, or personal information that you provide. They remain your intellectual property (or the intellectual property of whoever authorized you to provide them).
By submitting or uploading User Content to HirePilot, you grant us a limited license to use that content strictly for the purpose of operating and improving the Service. This means we and our service providers can store, display, and process your content in order to, for example, provide you with the AI feedback or job application assistance you requested. This license is non-exclusive, worldwide, royalty-free, and sublicensable only as needed to subcontract service operations (for example, sending your text to an AI engine, or storing it on a cloud server) – it’s not an ownership transfer, just a permission for us to do our job. We will not use your content outside of providing the Service to you, except as permitted by our Privacy Policy or if you give us additional permission.
Your Responsibilities for Your Content: You represent and warrant that you have the right to provide the User Content that you upload to HirePilot, and that doing so doesn’t violate any other party’s rights or any laws. For example, if you upload a résumé, you confirm it’s your own or you have permission from the person it describes. If you upload any sample cover letters, code, or other materials that are not purely written by you, you must have the rights to use and share them. You also agree that your User Content will not contain any offensive, defamatory, or illegal material, and will not include anyone’s personal information (e.g., someone else’s contact details) without consent.
We do not routinely review user content before it’s used in the Service, but we reserve the right to remove or disable access to any User Content for any reason, including if we believe it violates these Terms or applicable law (or upon receiving notice of claimed infringement, such as a DMCA takedown request). You understand that when using HirePilot, you may be exposed to content from other users or AI outputs, and we are not responsible for the accuracy, appropriateness, or legality of that content (see Disclaimers below).
3.2 HirePilot’s Intellectual Property
All content and materials provided by HirePilot through the Service—such as the software, algorithms, design, text, graphics, logos, button icons, images, compilations of user data (that are not personal info), and the overall look-and-feel of the platform—are the property of HirePilot or our licensors and are protected by intellectual property laws. This includes the HirePilot name and logo, which are our trademarks/service marks. It also includes any content we or our AI generate for you (e.g., AI-suggested resume wording) prior to you editing or personalizing it; we grant you a license to use those outputs for your personal use, but underlying methods and non-user-specific text may be part of our IP or the IP of our AI providers.
Limited License to You: HirePilot grants you a personal, non-exclusive, non-transferable, revocable license to access and use the Service and our content for your individual, non-commercial job-seeking purposes, in accordance with these Terms. In plain terms, you can use our site and the AI-generated suggestions for your own job hunt, but you can’t redistribute our platform or content as your own product. You may not copy, modify, distribute, sell, or lease any part of our proprietary content or software, nor may you reverse engineer or attempt to extract the source code of our software, unless laws prohibit those restrictions or you have our written permission.
Feedback: If you choose to provide suggestions, ideas, or feedback to us (for example, ideas to improve features or new tool suggestions), you agree that we can use and implement that feedback without restriction or compensation to you. You hereby grant us a worldwide, irrevocable, sublicensable right to use any feedback you provide in any way. (This helps us incorporate good ideas without worrying about licensing issues.)
3.3 Third-Party Content and Links
Our Service might display or incorporate content provided by third parties (such as a feed of relevant job postings, or links to external articles). Third-party content is the intellectual property of the party that provided it. For example, if we show a job listing from an external source, the listing details belong to that source. You must abide by any terms imposed by those third parties on their content.
Links to third-party websites are provided for convenience and do not signify endorsement by HirePilot. We have no control over those sites, and different terms and policies will apply to your use of them.
4. Payments, Subscriptions, and Refunds
4.1 Paid Features and Billing
HirePilot may offer certain premium features or subscription plans for a fee. For example, we might have a basic free tier and a premium tier with more advanced AI tools or one-on-one coaching services. Any pricing and payment terms will be provided to you at the time of purchase or sign-up. By electing to use paid aspects of the Service, you agree to pay the applicable fees and any taxes as specified (such as a monthly or annual subscription fee).
- Payment Processing: Payments are processed securely by Stripe, our third-party payment processor. When you provide payment information (like a credit card), you are providing it to Stripe, not directly to HirePilot, though it may be collected through our site/app. All Stripe payments are subject to Stripe’s own terms and privacy policy, and by making a purchase you agree to Stripe’s Terms of Service and Privacy Policy. We do not store your full credit card details on our servers.
- Authorization: By subscribing to a paid Service, you authorize us (and Stripe) to charge your chosen payment method on a recurring basis (for subscriptions) for the fees due, including any applicable taxes and any transaction fees (such as foreign transaction fees or currency differences if applicable). If your payment method fails or your account is past due, we may collect fees owed using other collection mechanisms. You agree to keep your billing information current, complete, and accurate.
- Free Trials and Promotions: If we offer a free trial or introductory offer, we will specify the terms of that trial (e.g., duration, what features are included). After the trial period, if you do not cancel, you may be charged the applicable subscription fee. Only one free trial per user is allowed unless otherwise stated.
4.2 Refund Policy
All fees for HirePilot Services are currently non-refundable, unless required by law. This means that once you have paid for a subscription period (e.g., the current month or year), you will not receive a refund for that period if you decide to cancel mid-term. We reserve the right to issue refunds or credits at our sole discretion, for example in cases of serious service disruptions or mistaken charges, but the default policy is no refunds for unused time or features. All sales are final.
If you believe there are extenuating circumstances (for instance, you were charged after attempting to cancel, or you experience a technical issue that prevented you from using the service after payment), please contact us at billing@hirepilot.com and we will review your request on a case-by-case basis. Providing a refund in one instance does not obligate us to provide a refund in the future under similar circumstances.
If you receive a refund, your access to the paid features may be revoked (for example, if we refund a monthly subscription, your premium features will downgrade immediately).
4.3 Subscription Changes and Cancellation
- Cancellation: You can cancel a recurring subscription at any time via your account settings or by contacting our support. If you cancel, you will retain access to premium features until the end of the period you already paid for (unless we tell you otherwise at the time of cancellation). After that, your account will revert to a free/basic tier. No prorated refunds will be given for the remainder of the billing period after cancellation (again, unless required by applicable law or unless we decide to issue one as a courtesy).
- Upgrades and Downgrades: If you upgrade your subscription (to a higher tier) mid-period, you may be charged a prorated amount or the full amount of the new plan at our discretion, and your new billing date may reset. If you downgrade, you might lose access to features immediately upon downgrade, and the change will typically take effect at the next billing cycle (meaning you’ll finish out the current paid period on the higher tier, without refund, then renew at the lower tier rate).
- Price Changes: We reserve the right to change the fees charged for our Services or introduce new charges. If we do so, and you have a recurring subscription, we will give you reasonable advance notice of the new fees via the email associated with your account or through the Service. Price changes will not affect the current billing cycle but would apply upon renewal. If you do not agree to the price change, you must cancel your subscription before the new price takes effect. By continuing to use the Service after the price change takes effect, you agree to the updated price.
4.4 Payment Disputes
If you have any dispute regarding charges to your account, you agree to raise it with us first and give us an opportunity to resolve it. You can reach out to billing@hirepilot.com to discuss any billing issues. Any disputes must be raised within 60 days of the charge in question. You agree to not unjustifiably file a chargeback with your bank or credit card provider before contacting us. Should you file a chargeback, we reserve the right to suspend your account pending resolution.
5. Term and Termination
These Terms are effective from the moment you first accept them (for instance, by creating an account or using the Service) and will remain in effect until terminated by either you or us.
- Your Right to Terminate: You may stop using HirePilot at any time. You can also delete your account at any time if you no longer wish to use our Services. Deleting your account will terminate these Terms with respect to you (except for the provisions that survive, as listed below).
- Our Right to Suspend or Terminate: We reserve the right to suspend or terminate your access to the Service (in whole or in part) at any time, for any reason or no reason, with or without notice. We may do this if, for example, we reasonably believe that you have violated these Terms, you create risk or possible legal exposure for us, your account has been inactive for an extended period, or our provision of the Services to you is no longer commercially viable. We also reserve the right to remove or modify the Service (for all users) at any time, such as if we decide to discontinue a feature or the entire Service. If we terminate your account due to a breach of these Terms or unlawful behavior, we are not obligated to refund you any prepaid fees.
- Effect of Termination: Upon termination of your account for any reason, your right to use the Service will cease immediately. We may permanently delete or disable access to any information or content you had stored on the Service, without liability. It is your responsibility to export any data you wish to save before you delete your account or it is terminated. (We may, but are not required to, provide you a brief window to retrieve data post-termination, except where the termination was for serious cause.) We are not liable to you or any third party for account termination or content deletion, except to the extent expressly required by law.
- No New Accounts: If we terminate or suspend your account due to your breach of these Terms or misconduct, you agree not to create another account without our permission. We may block your email, IP, or other identifier to prevent re-registration.
Sections that by their nature should survive termination (such as indemnities, disclaimers, limitations of liability, dispute resolution, etc.) will continue to be in effect after your relationship with HirePilot ends.
6. Modifications and Updates to the Service
HirePilot is an evolving service. We may, from time to time, make updates or changes to the Service:
- Feature Changes: We reserve the right to change, suspend, or discontinue any aspect of the Service at any time, including adding or removing features, imposing limits on certain features, or sunsetting the Service entirely. We may also update the software periodically (which might automatically download and install on your device) to improve performance, enhance features, incorporate new capabilities, or fix bugs.
- No Guarantee of Continuous Availability: While we aim to provide a great and reliable service, we can’t guarantee that the Service will always be available or error-free. We may experience downtime, outages, or disruptions due to maintenance, upgrades, or events beyond our control (like internet problems or third-party outages). We will try to give advance notice of significant maintenance downtime when feasible, but we are not liable if the Service is unavailable at any given time.
- Updates to Terms: We may revise these Terms from time to time. We will notify you of material changes, for example by sending an email to the address associated with your account or by a prominent notice on our site. The updated Terms will be posted with a “Last updated” date. By continuing to use the Service after new Terms become effective, you agree to be bound by the revised Terms. If you do not agree to the changes, you must stop using the Service and, if applicable, cancel any subscriptions.
We encourage you to review these Terms periodically for any updates. For minor changes that do not materially affect your rights, we may not send an email, so checking the posted Terms on our website is a good practice.
7. Disclaimer of Warranties
HirePilot provides the Service on an “AS IS” and “AS AVAILABLE” basis. While we strive to make our platform helpful and reliable, we cannot promise that it will be perfect. To the fullest extent permitted by law, we disclaim all warranties and representations, whether express, implied, or statutory, including but not limited to the implied warranties of merchantability, fitness for a particular purpose, title, and non-infringement.
In particular, we make no warranty or guarantee that:
- The Service will always be available, uninterrupted, timely, secure, or error-free (we will try, but we can’t guarantee there won’t be downtime or bugs).
- The information or results that you obtain through the Service (including any AI-generated content, job listings, or career advice) will be accurate, reliable, or suited to your needs. We do not warrant the accuracy or completeness of any content provided – whether originating from us, from the AI, or from other users.
- Your use of the Service will result in any job offer, interview, employment opportunity, or specific outcome. HirePilot does not guarantee that you will get a job, an interview, or any employment benefit from using our platform.
- The Service will be free from viruses, malware, or other harmful code, although we take precautions to secure our platform. You are responsible for using up-to-date antivirus software on your devices.
- Any defects or errors in the Service will be corrected (though we likely will try to fix issues, especially critical ones, we can’t guarantee timeframes or that every minor bug will be fixed).
Use at Your Own Risk: You agree that your use of HirePilot is at your sole risk. Any material or data you download or otherwise obtain through the Service (such as an AI-edited resume file) is provided without any warranty and you are responsible for any damage that may result to your computer system or loss of data that results from the download of any such material.
If applicable law does not allow the exclusion of certain warranties, then we provide the minimum warranty required by law.
8. Limitation of Liability
To the maximum extent permitted by law, in no event will HirePilot or its affiliates, or their respective directors, officers, employees, agents, or partners, be liable for any indirect, incidental, special, consequential, or punitive damages arising out of or in connection with your use of (or inability to use) the Service. This includes, without limitation, any damages for lost profits, lost opportunities, loss of data, or cost of procurement of substitute services, even if we have been advised of the possibility of such damages. We will not be responsible for any loss or damage that is not reasonably foreseeable.
In particular, HirePilot shall not be liable for: (a) any content mistakes or omissions (for instance, if our AI makes an error in your cover letter, or if a job listing we show is inaccurate); (b) any loss of data or damage to your system; (c) any claim relating to the conduct of third parties such as other users, employers, or external websites; (d) unauthorized access to or alteration of your transmissions or data; or (e) events outside our reasonable control, like failures of electronic or mechanical equipment or communication lines, or other interconnect problems, or issues with third-party services (e.g., payment processing failures, AI engine outages, etc.).
Maximum Liability Cap: To the extent that any liability is not legally excludable, the total liability of HirePilot and its affiliates to you for all claims arising out of or relating to these Terms or the Service is limited to the greater of: (a) the amount you have paid us in the 6 months immediately preceding the event giving rise to the claim; or (b) $100 USD. If applicable law does not allow the limitation of liability as set forth above, this limitation may not apply to you – in such cases, our liability will be limited to the smallest amount permitted by such law.
Some jurisdictions do not allow the exclusion or limitation of certain damages, so some of the above exclusions and limitations may not apply to you. In those jurisdictions, our liability will be limited to the fullest extent permitted by law.
9. Indemnification
You agree to indemnify, defend, and hold harmless HirePilot and its parent, affiliates, and their respective officers, directors, employees, and agents from and against any and all third-party claims, liabilities, damages, losses, or expenses (including reasonable attorneys’ fees and costs) arising out of or related to:
- Your Use of the Service: Any use of HirePilot by you that violates these Terms or any law/regulation. For example, if you use HirePilot to post defamatory content and someone sues us for it, or if you use it in a way that causes a data breach, you agree to cover our costs/damages.
- Your Content: Any User Content you provide (e.g., if you upload something you didn’t have the right to and someone claims infringement, or if the content is illegal).
- Breach of Terms: Your breach of any provision of these Terms or any representation/warranty you provide herein.
- Interactions and Jobs: Any of your interactions or disputes with prospective employers or other users, or your employment decisions. (For instance, if you rely on HirePilot’s suggestions and something goes wrong in your job application process, you won’t hold us liable, and if a third party does, you’ll indemnify us).
We reserve the right to assume the exclusive defense and control of any matter otherwise subject to indemnification by you (at your expense), in which event you agree to cooperate in asserting any available defenses. You agree not to settle any such matter without the prior written consent of HirePilot. We will use reasonable efforts to notify you of any such claim or demand that is subject to your indemnification obligation upon becoming aware of it.
10. Governing Law and Dispute Resolution
Governing Law: These Terms and any dispute arising out of or related to them or the Service will be governed by the laws of the State of Delaware and, to the extent applicable, the federal laws of the United States, without regard to its conflict of law principles. We choose Delaware law because many startups incorporate there (even if our operations are elsewhere) and it provides a predictable legal framework. If you reside outside the U.S., you acknowledge that you are voluntarily using a U.S.-based service and that U.S. laws will apply to any disputes.
Jurisdiction and Venue: You agree that any disputes or claims arising out of or related to these Terms or the Service must be resolved exclusively by a state or federal court located in the State of Delaware, United States, except as otherwise agreed by the parties or required by law. You and HirePilot consent to the personal jurisdiction of and venue in such courts. If you are a U.S. resident, you also agree that any cause of action you may have arising out of or related to these Terms must commence within one (1) year after the cause of action accrues; otherwise, such cause of action is permanently barred.
Dispute Resolution; No Class Actions: We encourage you to contact us first if you have any issue, so we can try to resolve it amicably. In the interest of efficient resolution, you agree that any dispute will be conducted only on an individual basis and not in a class, consolidated, or representative action. You waive your right to participate in a class action lawsuit or class-wide arbitration against us. (This does not apply where prohibited by law.)
If our Terms with you were ever to be considered a “consumer agreement” under your local laws that mandates a different dispute resolution process (e.g., certain countries require consumer disputes to be heard in those countries), some of the above may not fully apply. But this would be an exceptional scenario given our user base focus.
11. General Provisions
- Entire Agreement: These Terms (along with the Privacy Policy and any other policies or supplemental terms referenced herein) constitute the entire agreement between you and HirePilot regarding your use of the Service, and supersede any prior agreements on the subject. Any additional or different terms in any written or oral communication from you to us are void.
- Severability: If any provision of these Terms is held to be invalid or unenforceable, that provision will be enforced to the maximum extent permissible and the remaining provisions of these Terms will remain in full force and effect. For example, if a court found the limitation of liability above to be too broad, the court might enforce it to the maximum extent allowed and the rest of the Terms would still apply.
- No Waiver: Our failure to exercise or enforce any right or provision of these Terms will not operate as a waiver of that right or provision. The rights and remedies provided to HirePilot in these Terms are cumulative and not exclusive of any rights or remedies provided by law.
- Assignment: You may not assign or transfer these Terms (or any of your rights or obligations hereunder) without our prior written consent. We may assign these Terms, in whole or in part, at any time with or without notice (for instance, to a subsidiary, or in the event of a merger or acquisition).
- Relationship: Nothing in these Terms shall be deemed to create an employer-employee relationship, partnership, joint venture, or agency relationship between you and HirePilot. You are an independent user of the platform, and there are no third-party beneficiaries to these Terms.
- Headings: Section headings are for convenience only and have no legal or contractual effect.
- Notices: HirePilot may provide notices or communications to you via email (to the address associated with your account), via in-app notifications, or by posting on our website. You may contact us as specified in the “Contact Us” section below. Email notices from you to us should be sent to support@hirepilot.com (unless a specific email is listed for a particular type of issue).
- Force Majeure: We are not liable for any delays or failure in performance of any part of the Service, from any cause beyond our control. This includes things like acts of God, war, terrorism, riots, embargoes, acts of civil or military authorities, fire, floods, accidents, network infrastructure failures, strikes, or shortages of transportation, facilities, fuel, energy, labor, or materials.
By using the Service, you represent that you have read and understood these Terms of Use, and you agree to be bound by them.
Thank you for using HirePilot, and we hope our platform helps you in achieving your career goals!

HirePilot Disclaimer of Liability
Last updated: September 2025
The HirePilot platform is a tool to assist you in your job search by providing AI-driven guidance, productivity features, and support. While we strive to offer valuable assistance, it is important to understand that your use of HirePilot is at your own risk and that there are certain things we do not and cannot guarantee or take responsibility for. This Disclaimer of Liability outlines those key points. By using HirePilot, you acknowledge and agree to the following disclaimers:
1. No Guarantee of Employment or Outcomes
HirePilot is here to help you improve your job search process – for example, by suggesting résumé improvements, helping draft cover letters, or identifying job opportunities. However, we do not guarantee that you will get a job, an interview, or any particular outcome from using our Service. The job market depends on many factors outside our control (your experience, market conditions, employers’ decisions, etc.).
- Use of HirePilot does not ensure success: Even if our AI helps you create a polished résumé or gives you interview tips, you might not secure the job you apply for. Hiring decisions are made by third parties (employers) and we have no influence over them. You should treat HirePilot as one of many tools in your job search toolkit, not as a guaranteed solution.
- No employment relationship: Using HirePilot does not create any employment relationship between you and HirePilot or with any employer. We are not an employer, recruiting firm, or staffing agency. We do not promise or arrange employment on your behalf.
- Results vary: The effectiveness of our suggestions can vary greatly from user to user. Many HirePilot users have found value in our Services, but your personal results will depend on how you use the advice, the effort you put into job applications, and external factors. “Your mileage may vary.”
In summary, you should not rely on HirePilot as a sure way to get a job, and HirePilot will not be liable if you do not receive job offers or any particular employment benefit from using the Service.
2. No Professional or Legal Advice; AI Content Limitations
HirePilot provides guidance and content generated in part by artificial intelligence. This content is for informational purposes only. While we aim for helpfulness and accuracy, HirePilot’s AI-generated outputs should not be considered professional career counseling, financial or legal advice, or guaranteed truthful information.
- AI Accuracy and “Hallucinations”: The AI technology powering HirePilot (e.g., language models from OpenAI or others) works by predicting likely helpful responses, but it does not guarantee truth or accuracy in the same way a human expert might. The AI might occasionally produce incorrect statements, irrelevant suggestions, or even fabricated information (commonly known as “AI hallucinations”) about jobs or companies. We make no warranty that AI-generated content is correct, accurate, or reliable. You should double-check crucial information from AI outputs (for example, if the AI suggests a statistic or fact to include in an interview answer, verify it independently).
- No Guarantee of Completeness or Suitability: Content provided might not be complete or tailored perfectly to your situation. For instance, the AI might draft a cover letter that omits something important about your background, or suggest job search steps that aren’t ideal for your field. You are responsible for reviewing and vetting all AI-provided text or advice before using it. We strongly recommend editing AI-generated résumés/letters to ensure accuracy and personal voice.
- Not a Substitute for Personal Judgment: HirePilot’s suggestions (whether from AI or from general tips) should not replace your own judgment or the advice of a qualified career counselor for major decisions. If you have serious doubts or an important scenario (like evaluating an employment contract, or deciding between job offers), consider seeking professional advice. HirePilot’s content is meant to be a helpful starting point, not a definitive pronouncement.
- No Legal or HR Guarantee: If our platform informs you about legal matters (for example, diversity and inclusion guidelines, or information about work authorization), this is general information and not legal advice. We are not lawyers or your employer’s HR – for legal questions about employment (visas, contracts, discrimination, etc.), consult a qualified attorney or official resources.
- User Responsibility: You agree that you use any content or advice from HirePilot at your own discretion and risk. Before sending out an AI-edited résumé or acting on an interview tip, you should consider whether it makes sense for your specific situation. You are solely responsible for the content of your job applications and communications. If you blindly copy AI content without reviewing it, you do so at your own risk.
In short, HirePilot and its AI provide no guarantees, and we expressly disclaim any liability for errors or omissions in AI-generated content. Always use common sense and consider double-checking important information through other sources.
3. No Warranty of Service Availability or Data Preservation
HirePilot strives to provide a reliable service, but we do not guarantee that the platform will be available 100% of the time or that it will be free of errors or interruptions.
- Downtime and Outages: The Service may occasionally be unavailable for maintenance, upgrades, or due to technical issues. Third-party services we rely on (such as our cloud servers, Stripe for payments, or the AI provider) might also experience outages. We are not responsible for any damages or losses incurred due to the Service being inaccessible or slow at any given time. This includes not being able to access your account, or AI features being temporarily down because, say, the AI API is unreachable. We will try to restore service as quickly as feasible, but make no guarantees about time to recovery.
- Data Loss and Backups: While we perform regular backups and take precautions to protect your data, we cannot guarantee that your data (including your résumé, profile, application history, or chat logs with the AI) will never be lost, corrupted, or accidentally deleted. Various issues could result in data loss (software bugs, catastrophic server failure, etc.). You are strongly advised to keep your own copies of important information (e.g., keep a copy of your résumé file on your computer). HirePilot disclaims liability for any loss or corruption of data that you may suffer As a user, you should maintain backup copies of any content you put on the platform that you cannot afford to lose.
- Security and Bugs: We employ security measures to protect the Service (see our Privacy Policy’s security section), but no system is 100% secure or bug-free. HirePilot does not guarantee that the Service is immune to vulnerabilities or that it will work flawlessly on every device or browser. Any feature in beta or experimental mode is especially not guaranteed to function correctly. We shall not be held liable for technical problems beyond our control such as “hacks” or infiltration by unauthorized parties, though we work hard to prevent them.
By using HirePilot, you acknowledge that occasional technical difficulties or loss of Service are unfortunate possibilities, and you agree that HirePilot is not liable for the consequences of such events.
4. Limited Liability for Third-Party Services and Content
HirePilot integrates with, or relies upon, various third-party services to function – for example, Stripe for payments, OpenAI or similar for AI processing, cloud hosting providers, LinkedIn or other APIs if we import data, etc. Additionally, we may provide links or references to external content (like job postings on other websites, or articles).
We do not have control over third-party services, and therefore:
- Service Outages and Changes: If a third-party service that HirePilot uses experiences an outage or discontinues functionality, HirePilot’s features may be impacted. We are not responsible for third-party service outages, API changes, or integration failures beyond our control. For example, if OpenAI’s API goes down and our AI features stop working for a period, or if Stripe has an issue processing payments, HirePilot is not liable for any losses you incur from these disruptions.
- Third-Party Terms: Your use of any third-party services (like logging in via Google, or syncing with LinkedIn) may also be subject to those parties’ terms and privacy policies. While we try to only partner with reliable providers, we are not responsible for the actions, content, or policies of third parties. Any dispute or issue arising from a third-party service’s handling of your data or their service provision is between you and that third party.
- External Links and Job Posts: HirePilot may present you with job listings or external resources for your convenience. These could be pulled from external job boards or company websites. We do not verify or endorse external content. A job listing may be inaccurate, expired, or even fraudulent without our knowledge. HirePilot disclaims responsibility for the content on external sites or for any outcomes of you pursuing opportunities outside our platform. Always do your due diligence when applying to jobs (for instance, be cautious of job scams or too-good-to-be-true offers, which exist on the internet generally). Likewise, if you follow a link to an article or advice column not written by us, we aren’t responsible for what it says.
- Third-Party Data Practices: If, for example, you choose to import data from LinkedIn or another service into HirePilot, understand that we’re using their provided interface (API) and cannot guarantee its accuracy or completeness. LinkedIn’s terms might require us to remind you that data fetched from them remains subject to LinkedIn’s policies as well. We fully disclaim liability for how third-party platforms handle your data, or if they change their services in ways that affect HirePilot’s functionality.
In essence, HirePilot shall not be held liable for any issues, losses, or damages arising from third-party services or content that interoperate with or appear on our platform. This includes payment processing errors, data breaches on a third-party system, content provided by third parties, or any situation where a third-party action (or inaction) impacts you through HirePilot.
5. General “As-Is” Service Understanding
To reiterate some of the above in simpler terms: HirePilot is provided “as is” without warranties of any kind. We want you to benefit from using HirePilot, but we also want to be clear that we do not accept liability for harm that may come from your use of our Service. This includes, but is not limited to:
- No Warranty of Error-Free Operation: We do not warrant that the Service will be uninterrupted or free of errors, bugs, or vulnerabilities. Software is complex and AI is not deterministic. There may be times when things don’t work as expected. We strive to fix issues promptly, but you agree not to hold us liable for those inherent imperfections.
- No Responsibility for User Actions: You are solely responsible for your interactions and communications using HirePilot. If you choose to share personal information with others or take advice that leads you to specific actions, that responsibility lies with you. We facilitate connections (like maybe a future mentor marketplace) but we do not supervise or guarantee users’ behavior.
- Limit on Damages: In any event, if we are found liable, our liability to you is limited (as described in our Terms of Use, we cap damages to at most the amount you paid us, etc.). This is to ensure that we can operate as a startup business without facing unbounded risk. We specifically refuse liability for indirect damages or costs – for example, if you claim you lost a potential salary because of something related to HirePilot, we will not cover that.
- Indemnity Reminder: If your use of HirePilot somehow causes us to be sued by someone else (say, an employer claims something about a résumé generated through our Service violated their rights, or another user claims you harassed them via our platform), you may be obligated to indemnify us for those legal costs or damages. This isn’t to scare you, but to remind you to use the Service responsibly.
In Conclusion: HirePilot aims to support you, but ultimately you are in charge of your job search, and you assume full responsibility for any decisions made or actions taken based on the information and tools we provide. We disclaim liability to the fullest extent allowed by law for any harm, loss, or damage arising from your use of HirePilot.
By using HirePilot, you acknowledge that you have read and understood this Disclaimer of Liability. You agree that HirePilot has made you aware of the limitations of our Service and the fact that we do not assume liability for the areas described above.
If you do not agree with these disclaimers, or if you desire a service that provides guarantees, then unfortunately HirePilot is not the right platform for you. We’d hate to see you go, but your understanding and agreement to these terms is a condition of using our platform.
For any questions about these disclaimers, you can contact us at support@hirepilot.com. We value transparency and will happily clarify any point.
We wish you the best of luck in your job search and career development. Thank you for trusting HirePilot as a resource along the way!
